Facilities And Compliance Administrator in Cambridge, East Of England

Our Client has a requirement for a Facilities & Compliance Administrator, who will be required to work on a 4 month contract basis in Cambourne, Cambridge.

Key Responsibilities / Specific Duties

  • Raise the profile of FM services across the organisation through:
    • Improved customer experience
    • Enhanced service delivery
    • Development and upkeep of a Facilities Management intranet page
  • Ensure the intranet content is regularly reviewed and updated.
  • Manage and update the Facilities Management software to ensure H&S and general compliance.
  • Liaise with external contractors to coordinate and complete compliance-related works.
  • Provide monthly KPI reports.
  • Support the Assistant FM Service Delivery Manager in managing:
    • Capital improvement projects
    • Cyclical maintenance programmes
  • Monitor contractor performance and ensure relevant documentation is current:
    • Employers’ Liability Certificates
    • Training and accreditation records
    • Risk Assessment Method Statements (RAMS)
  • Oversee the FM invoicing inbox. Create and process purchase orders and invoices in line with Council policies and deadlines.
  • Promote a culture of continuous improvement within FM operations.
  • Support service delivery across hard and soft FM services, including:
    • Mechanical, electrical, and building fabric maintenance
    • Cleaning, catering, and hygiene services
  • Act as a point of contact for Facilities Management queries and customer service issues.
  • Assist in developing planned maintenance programmes to ensure office buildings are well maintained.
  • Ensure minor works, corrective repairs, and refurbishments are completed promptly.
  • Provide general administrative support to the FM Service Delivery Manager and Assistant FM Service Delivery Manager as needed.

Essential criteria the temporary worker must posses to be selected for an interview:

  • Knowledge of premises related compliance, health & safety and fire safety
  • Knowledge and understanding of relevant legislation and regulations relevant to the service, e.g. H&S at work act 1974, Regulatory reform (Fire Safety) order 2005, GDPR/Data Protection, CDM Regulations
  • Ability to prioritise workload and make decisions
  • Self-motivation and ability to work on own and as part of a team
  • Customer focused/flexible approach – Essential
  • Proactive, resourceful, well-developed problem-solving skills
