Job Purpose:
Your primary mission is to provide an administrative service across the Strategic and Private Sector Housing Service. Deliver an effective and appropriate service to all service users, fairly and without discrimination, ensuring everyone receives the help they need.
What you will do:
- Manage a comprehensive range of administrative functions, including handling post, word processing, filing, and resolving telephone enquiries with sensitivity towards vulnerable individuals.
- Take ownership of managing mailbox enquiries across the Service, ensuring queries from customers and partners are resolved efficiently.
- Maintain and input data into various databases and spreadsheets, playing a vital role in government statistical returns and performance monitoring.
- Organise consultation events and meetings, handling everything from venue booking to minute taking and catering requirements.
- Monitor complaints using the Corporate Computerised Complaints System, ensuring all issues are logged, responded to, and resolved effectively.
- Administer petty cash payments in line with Audit Regulations and ensure a steady supply of office stationery.
- Use the Council’s Financial Management System for ordering and receipting goods.
- Circulate important information through newsletters, leaflets, and mailshots, while maintaining stocks of advisory leaflets and forms for customer services.
Requirements:
To be the best fit for this role, you need a GCSE or equivalent in English Language and Maths, with several years of clerical or office administration experience. Comfort with computerised systems, particularly Microsoft Office, is essential, alongside relevant experience in customer-focused environments. You’ll need to communicate effectively with customers, manage your time, and be organised. Proficiency in Excel and knowledge of Private Sector Housing Grants will be beneficial. A keen eye for detail, self-motivation, and an understanding of equal opportunities are crucial to flourish in this role.
